2.1 Information You Provide

  • Account information: name, email address, password (hashed)
  • Business information: business name, phone number, city, service type
  • Client data: client names, addresses, contact information you enter
  • Job data: scheduling, job notes, pricing, photo uploads
  • Payment information: billing details are processed by DodoPayments and never stored on our servers

2.2 Information Collected Automatically

  • IP address, browser type, device information
  • Usage data (pages visited, features used, session duration)
  • Error logs and performance metrics

3. How We Use Your Information

We use your information to:

  • Provide and operate the Dispatch platform
  • Process your subscription payments
  • Send transactional emails (job notifications, billing receipts)
  • Provide customer support
  • Improve our platform through anonymized analytics
  • Comply with legal obligations (PIPEDA, Canadian tax law)

We do NOT sell your personal information to third parties. We do NOT use your data for advertising.

4. Data Storage & Security

  • All data is stored on servers located in Germany (Contabo VPS) and Cloudflare's global CDN
  • Data is encrypted in transit (TLS 1.3) and at rest (AES-256)
  • Passwords are hashed using industry-standard algorithms (bcrypt)
  • We maintain regular encrypted backups
  • Access to production systems is restricted to authorized personnel only

5. Data Sharing

We share your data only with:

  • DodoPayments: to process subscription payments
  • Cloudflare: for CDN, photo storage (R2), and DDoS protection
  • Legal authorities: only when required by law

6. Your Rights (PIPEDA & GDPR)

You have the right to:

  • Access: request a copy of your personal data
  • Correction: correct inaccurate information
  • Deletion: request deletion of your account and associated data
  • Portability: export your business data in machine-readable format
  • Withdrawal of consent: cancel your subscription at any time

7. Data Retention

  • Active accounts: data retained as long as your subscription is active
  • After cancellation: data retained for 90 days, then permanently deleted
  • Billing records: retained for 7 years (Canadian tax law requirement)
  • You may request earlier deletion by contacting us

8. Cookies

We use minimal cookies required for platform functionality (authentication session cookies). We do not use advertising or tracking cookies. See our Cookie Policy for details.

9. Children's Privacy

Dispatch is a business platform intended for users 18 years and older. We do not knowingly collect data from individuals under 18.

10. Changes to This Policy

We may update this Privacy Policy. We will notify you by email at least 30 days before significant changes take effect. Continued use of Dispatch after changes constitutes acceptance.
